Many online forms ask you to upload a picture of your handwritten signature: job applications, university admissions, tenancy and bank forms, exam registrations and some visa portals. The upload box usually comes with rules such as "JPG, 140 × 60 pixels, under 20 KB". Here is how to produce a signature image that is crisp, has a clean white background and meets those rules.

1. Sign on the right paper with the right pen

Use plain white, unlined paper and a black or dark blue pen with a medium tip, such as a gel pen or felt-tip. Ballpoints often give a thin, faint line that disappears when the image is shrunk. Sign a few times and pick the best one. Make it the same size you would naturally sign on a document; do not draw it extra-large.

2. Photograph or scan it

  • Place the paper on a flat surface near a window in daylight.
  • Hold the phone directly above, parallel to the paper, so the signature is not slanted.
  • Avoid your own shadow. Moving the phone slightly to one side usually helps.
  • Tap to focus on the ink before taking the photo.

A scanner app or flatbed scanner gives even better results, but a careful phone photo is fine.

3. Crop tightly

Crop so the signature fills most of the image with a small margin of white on each side. Too much white space makes the signature tiny after resizing; cropping into the ink cuts off strokes. Most forms want a wide rectangle, often around 3:1 or 2:1 width to height.

4. Clean up the background

Phone photos of white paper are rarely white; they are grey, yellowish or uneven. The Crop Desk Signature Background Remover turns the paper pure white (or transparent for PNG) and darkens the ink so the strokes stand out. It runs in your browser, so your signature, which is sensitive, is never uploaded anywhere.

5. Resize to the required pixels and KB

Once it is clean, set the exact dimensions using the Image Resizer, then bring it under the file size limit with the Image Compressor. Signatures are mostly white, so they compress very well; 10–20 KB is easy to reach without losing sharpness.

Common size requirements

There is no universal standard, but these appear often:

  • 140 × 60 pixels, 10–20 KB (many Indian exam forms).
  • 300 × 100 or 400 × 150 pixels for job portals and HR systems.
  • Transparent PNG for placing on documents in PDF editors.

Always follow the exact numbers given in your form.

JPG or PNG?

Use JPG when the form asks for it, which most do; fill the background with white. Use PNG with transparency when you want to place your signature on top of a document, for example in a PDF editor or a Word file, so it does not cover lines or text with a white box.

Many signatures at once

Schools, HR teams and offices sometimes need signatures from dozens of people. Collect them on a printed sheet with numbered boxes, scan the sheet, and use the Crop Desk bulk cropper to cut every signature into a numbered file in one go.

Security tips

  • Do not post your signature image publicly or send it over unsecured channels.
  • Delete working copies from shared computers after uploading.
  • Prefer tools that process images locally rather than uploading them.

Frequently asked questions

What size should a signature image be for online forms?

It depends on the form. Common examples are 140 × 60 px under 20 KB, or 300 × 100 px. Always use the size given in your form's instructions.

How do I make my signature background white?

Photograph it on white paper in good light, then use a signature background remover to make the paper pure white and the ink darker.

Should I upload my signature as JPG or PNG?

Use JPG if the form asks for it. Use transparent PNG to place a signature on documents.

Is it safe to edit my signature online?

Use a tool that runs in your browser and does not upload images, such as Crop Desk.
