IBPS & SBI Photo, Signature, Thumb and Declaration Size (Pixels and KB)

Updated 16 October 2026 · 5 min read

Bank exam forms run through the IBPS registration portal – IBPS PO, Clerk and RRB, and many SBI and public sector bank recruitments – ask for more than a photo and a signature. Most of them want four separate images: a photograph, a signature, a left thumb impression and a handwritten declaration. Each one has its own pixel size and KB range. If any image is outside its range, the portal will not accept it. Worse, a wrong upload (signature in the photo box, for example) can get the application rejected later.

This guide lists the specifications that appear in recent IBPS document-upload guidelines and explains how to make each image without stress. Specifications can change between recruitments, so always read the "Guidelines for scanning and upload of documents" annexure in the notification you are applying for.

Bank form mein chaar image lagti hain – photo, sign, angootha aur declaration. Har ek ka size alag hota hai.

The four images at a glance

Recent IBPS-run notifications (2026) give these preferred specifications:

ImageDimensions (preferred)File sizeFormat
Photograph (4.5 cm × 3.5 cm)200 × 230 pixels20 KB – 50 KBJPG/JPEG
Signature140 × 60 pixels10 KB – 20 KBJPG/JPEG
Left thumb impression240 × 240 pixels at 200 DPI (3 cm × 3 cm)20 KB – 50 KBJPG/JPEG
Handwritten declaration800 × 400 pixels at 200 DPI (10 cm × 5 cm)50 KB – 100 KBJPG/JPEG

Treat this table as a starting point, not a final word. A particular bank may add a resume upload, change a range, or switch to live photo capture.

1. The photograph

The guidelines ask for a recent passport-style colour photo against a light-coloured, preferably white, background. Look straight at the camera with a relaxed face. Caps, hats and dark glasses are not acceptable; religious headwear is allowed if it does not cover the face. If you wear spectacles, make sure there is no reflection hiding your eyes.

The notices also warn that a photo above 50 KB should be fixed by adjusting the scan settings – DPI, number of colours and so on – rather than uploading something blurred or oversized. In practice, start from a sharp photo, crop it to a portrait shape close to 200 × 230, then save as JPG at a quality that lands between 20 and 50 KB. Our guide on reducing a photo to 20–50 KB walks through this step by step.

2. The signature

Sign on white paper with a black ink pen. The signature must be your own; the guidelines say that if the signature on the attendance sheet or call letter does not match the uploaded one, the candidate can be disqualified. Signatures in CAPITAL LETTERS are not accepted.

At 140 × 60 pixels the signature image is small, so crop tightly with only a little white margin. A thick, dark line survives resizing far better than a thin, light one. See how to make a signature look clean for pen and contrast tips.

3. The left thumb impression

Put your left thumb impression on white paper using black or blue ink (a stamp pad works). Press firmly and roll slightly, then lift straight up so the ridges are visible and not smudged. The 240 × 240 pixel square leaves room for the whole impression, so centre it and keep some white space around it.

A common mistake is a thumb impression that is just a dark blob. Use less ink, press once, and try a few times on the same sheet – then pick the clearest one.

4. The handwritten declaration

This is the one most candidates forget. You write a fixed declaration text in English, in your own handwriting, on white paper with black ink (some notices also allow blue). The exact text is printed in the notification and usually starts "I, (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid…". Copy it word for word.

  • Do not write in capital letters – the notices reject this.
  • It must be written by you, not by anyone else.
  • Keep the lines straight; use a ruled sheet underneath as a guide if needed, but scan only the plain white page.
  • The image is wide (10 cm × 5 cm), so crop to the text block with a small margin.

Candidates who cannot write can, according to the notices, get the declaration typed and put their left thumb impression below it. Check your notification for the exact rule.

Scanning all four at once

You can prepare everything on one A4 sheet: photo pasted in one corner, signature, thumb impression and declaration in separate areas. Scan or photograph the sheet once in good light, then cut out each part. On a phone, the steps in how to scan photos with a phone apply equally to this sheet.

If you are a cyber café or coaching centre helping many candidates, print a template with boxes for each person and use Crop Desk to cut all photos and signatures from the scanned sheets into numbered files. Draw extra boxes for thumb and declaration with the Blank layout.

Before you click Upload

  1. Check the KB of each file (right-click → Properties on Windows, or file details on a phone).
  2. Check the pixel size. Being a few pixels off the "preferred" size is usually fine; the KB range is normally checked strictly.
  3. Make sure each file goes in its own box – photo in photo, signature in signature.
  4. Use the portal's preview. If the image looks blurred, stretched or cut off, fix it and upload again before final submission.

Read our list of common photo rejection reasons before you submit, and keep copies of all four files for later phases of the recruitment.
