Common Photo Rejection Reasons in Online Forms (and How to Avoid Them)
An application can be rejected, or an admit card withheld, just because of a bad photo or signature. Sometimes the portal refuses the file immediately. Sometimes the problem is found later during scrutiny, when it may be too late to fix. Here are the most common reasons and how to avoid each one.

The most common technical error. The portal says something like "file size must be between 20 KB and 50 KB" and your file is 2 MB, or just 8 KB.

2. Wrong dimensions or aspect ratio
Some portals check pixel width and height exactly. Others accept a range. A stretched or squashed face is a sign that the image was resized without keeping proportions.

3. Wrong file format
Uploading a PNG, HEIC (common on iPhones), WebP or PDF when the form asks for JPG/JPEG.
Fix: save or export as JPG. On iPhone, you can set the camera to "Most Compatible" format, or export as JPG. Check that the file extension really is .jpg or .jpeg, not just renamed.
4. Blurry or low-quality photo
Blur comes from camera shake, poor focus, low light, repeated compression, or enlarging a tiny image. Forms want the face to be clearly identifiable.
Fix: use good light, tap to focus, hold steady. Work from the original file, not a copy forwarded through chat apps.
5. Old photo
Many forms ask for a recent photo, and some specify how recent. A photo from years ago may not match your appearance at the exam centre or during verification.
Fix: take a fresh photo for each important application season.
6. Background problems
Busy backgrounds (curtains, furniture, other people), dark backgrounds, or edited or blurred backgrounds are common issues. Many forms ask for a plain white or light background.
Fix: stand in front of a plain light wall. Avoid apps that cut out and replace the background unless the form specifically allows it.
7. Face not fully visible
- Head or chin cut off by a tight crop
- Face too small in the frame (full-body photo)
- Dark glasses, caps or masks
- Hair covering the eyes
- Strong shadow over half the face

8. Filters and editing
Beauty filters, heavy smoothing, colour effects or stickers change your appearance. Forms usually want a natural, unedited photo.
Fix: turn off beauty mode and filters before clicking.
9. Signature problems
- Signature in capital letters when the notification does not allow it
- Faint pencil or light-ink signature
- Grey or shadowed background
- Photo uploaded in the signature field, or the other way around
- Signature that differs from the one signed at the exam centre

10. Wrong person's photo (bulk processing)
When a school or cyber cafe fills many forms, a swapped photo is a serious mistake. It can lead to the wrong student being refused entry or a long correction process.

11. Mismatch between photo field and other documents
Some forms also ask for ID proof or certificates. If the photo looks very different from the ID, verification may take longer. Keep your appearance in the photo close to how you look now.
A final checklist before you click submit
- Correct format (usually JPG)
- Correct pixels and KB
- Recent, sharp, front-facing photo on a plain background
- Dark, clear signature in the right field
- Preview checked – right person, right way up, nothing cut off
