How to Crop Many Students' Photos and Signatures from One Sheet
Every admission season, school offices and cyber cafes face the same job: a class teacher sends one sheet with 10, 20 or 30 students' photos pasted on it, each with a signature box nearby. Each student's online form needs a separate photo file and a separate signature file. Cutting them one by one in a photo editor can take hours, and it is easy to mix up who is who.

Collecting photos on one printed sheet is actually smart. Students paste their photo and sign in their own box, the teacher checks the sheet once, and the office gets everything in one place. The hard part is only the digital step: turning that sheet into clean, separate files. If the sheet is prepared well, that step becomes fast.
Step 1: Prepare a clean sheet
A little planning before printing saves a lot of time later:
- Use a fixed grid. Same-size boxes in neat rows and columns, for example 3 or 4 boxes per row.
- Keep the signature box in the same place for every student – always above the photo, or always below it. Mixing both on one sheet makes automatic cropping harder.
- Write a serial number next to each box and keep a matching list of student names. Your files will be numbered 1, 2, 3… so the list is how you match file to student.
- Ask for a black or dark blue pen for signatures. Light pens often fade in scans.
- Leave a white margin around the sheet so the edges are not cut off while scanning.
Step 2: Scan or photograph the sheet
A flatbed scanner gives the most even result. If you do not have one, a phone camera works well too:
- Place the sheet flat on a table in daylight or under a bright tube light. Avoid direct sunlight, which creates glare on glossy photos.
- Hold the phone straight above the sheet, not at an angle. A tilted photo makes boxes look like trapeziums.
- Make sure there is no shadow of your hand or phone on the sheet.
- Use the full camera resolution. Do not send the image through a chat app first, because many apps compress images heavily.
Save it as JPG or PNG. If you have several sheets (one per section, for example), photograph each one separately.
Step 3: Open the sheet in Crop Desk
Open Crop Desk in your phone or computer browser and tap Upload sheet. You can select several sheets at once. The tool looks at the sheet and tries to detect the layout:
- Sheet A – signature on top, photo below.
- Sheet B – photo on top, signature below.
- Blank – for any other form, you draw your own boxes.

Step 4: Align the boxes
Scans are rarely perfect, so check that every box sits on its photo and signature. Crop Desk gives you simple controls:
- All – moves every box together. Use it when the whole scan is shifted a little.
- Selected – tap one box and move only that one.
- Smaller / Larger – resize boxes if they are cutting off the edges or including too much border.
- Add box and Build a grid – for custom layouts.

Step 5: Download the ZIP
Tap Zip. You get one ZIP file with names like 1_photo.jpg, 1_sign.jpg, 2_photo.jpg, 2_sign.jpg and so on. If you need only one student's files, use Save photo or Save sign on that person's card. You can also untick In zip for any empty box you want to leave out.

Step 6: Match, check size, and upload
Use your serial-number list to rename or match the files to student names if your process needs that. Before uploading, check the photo and signature size limits in the form's official notification. Common mistakes to avoid
- Wrong order: numbering follows the box order, so confirm the order on screen matches your list.
- Cutting off the chin or hair: enlarge the photo box a little rather than cutting too tight.
- Blurry phone photos: tap to focus before clicking, and hold steady.
