Admission Form Photo Tips for Schools: Collect, Scan and Upload Faster
For a school office, admission and registration season means hundreds of forms, each needing a student photo and often a signature. The work itself is not difficult, but small problems – a missing photo, a blurry scan, a mix-up between two students – multiply quickly. A simple, repeatable system saves days of effort.

Check the requirements of the portal you will upload to – a board registration portal, a scholarship site, or your own school software. Note the photo type (colour, background), size in pixels or cm, and the KB range. Share a short, clear instruction with parents, for example:
- Recent colour passport size photo (commonly 3.5 × 4.5 cm) with a plain light background
- School uniform if your school requires it
- No caps or dark glasses; face clearly visible
- Student's name and class written lightly on the back

2. Use a collection sheet per class or section
Instead of loose photos that can fall out of files, give each class teacher a printed sheet with a grid of boxes. Each box has a space for the photo and a space for the student's signature (or parent's signature, depending on the form). Keep the layout identical across all sheets:
- Same number of boxes per row
- Signature always above the photo, or always below it
- A serial number on each box
- Class, section and sheet number in the header
Keep a register or spreadsheet listing serial number, roll number and student name for each sheet.
3. Paste and sign carefully
Ask teachers to paste photos straight and fully inside the box, without glue marks on the face. Signatures should be in dark ink, inside the box, without touching the photo. A quick check by the class teacher at this stage prevents most later problems.
4. Scan each sheet once
A flatbed scanner at 300 DPI gives clean, sharp results. If you use a phone, photograph the sheet flat, in bright even light, from straight above – see our tips on scanning with a phone. Name the files clearly, like class6A_sheet1.jpg.
5. Cut all photos and signatures in bulk
This is where most time is usually lost. 6. Match files to students
The serial number on the sheet is the link between file and student. Unzip each sheet's files into a folder named after the class and sheet, then either rename files with roll numbers or keep the register handy while uploading. Double-check a few at random by comparing the face with the physical sheet.
7. Resize and compress only if needed
Check one file against the portal's limits. If the size is outside the range, adjust all files the same way. See reducing photo size to 20–50 KB and resizing signatures.
8. Upload and verify
- Upload one student first and check how the photo appears in the portal preview or printout.
- Then continue with the rest of the class.
- Keep a tick column in your register for "uploaded" and "verified".

9. Store and protect the files
Student photos are personal data of minors. Store them on the school computer in a protected folder, not on personal phones or in public chat groups. Common problems and quick fixes
- Old photo submitted: ask for a new one early, before the deadline rush.
- Photo cut off at the edges: make the crop box slightly larger.
- Two students swapped: always verify serial numbers on the sheet against the register.
